Accountabilities
- Responsible for all administrative tasks, communicating with the department for daily inquiries, reports, letters, issues, memos and meeting minutes, ensuring tasks are completed accurately and delivered in a timely manner with high quality.
- Handle meetings and appointments for the manager.
- Coordinate with departments all related to staff leave, tickets, IT requests, all other staff requests, raising PR-PO reservations and tidying up.
- Responsible for exporting monthly reports from Rostima, reconciling daily attendance, publishing the roster for the next cycle, and tracking department personnel files.
- Responsible for assisting and providing initial requirements for new hires, e.g. uniforms, employee handbook, Rosita access, location access, etc.
- Generate monthly consolidated reports and reconcile to actuals to ensure all deadlines are met in the submission of daily, weekly and monthly departmental reports.
- Filing, organizing and maintaining records in a highly organized manner.
- Liaise closely with all airline related tasks, stakeholders (Flight Editing, NOC, Customer Service, etc.), increases and meal service changes.
- Assist in all internal departmental requirements to plan accordingly related to the operational task.
- Maintain proper use of office equipment and ensure a high level of confidentiality is maintained at all times.
Education and Experience
- Fluent in English and second languages, both written and spoken
- Good communication and organizational skills
- Good IT skills, including proficiency in Word, Excel and order processing technologies
- Experience: 3 years’ experience in a similar role.
